School of Music Space Scheduling Procedures

School of Music Event Scheduling Policies

School of Music scheduling policies remain in place. The onboarding of our new space management system, Mazévo, does not change these policies. 

Major, annual events are scheduled in the previous year. Below is an outline of the process.
 

TIER 1 — School of Music Ensembles 

  • Bands, choirs, jazz, orchestras are scheduled by the Conducting and Ensemble area — one year ahead.
     

TIER 2

  • The following events are usually scheduled in January, for the next academic year — Admissions events, Honors ensemble events (High School Honor Band, etc.), Festivals, Outreach events (Double Reed Workshop, Trombone Day, etc.), Summer camps.
     
  • Faculty/Guest Artist Recitals, including the Rush Hour series, are scheduled via a process outlined by the Concert Committee. Dates are pre-set, and claimed through a process that usually opens in March via a separate form on our site.
     

TIER 3Specialty events

  • World Music Day, Composers Workshop, studio recitals, etc. can be scheduled beginning in January, for the following academic year.

After the annual School of Music events listed above have been scheduled, spaces may be requested during the current academic year.

Faculty

  • Performance spaces (TMV Recital Hall N120, N160, Weigel Auditorium) email Tim Donel at donel.1@osu.edu 
  • Classroom space — request through Mazévo (details below). Approval will be processed within 72 business hours.

Non-School of Music Rental Requests

  • If you are outside of the School of Music community and wish to rent space, email Stephen Brunson at brunson.66@osu.edu

New system roll-out timeline

The School of Music will transition from the current Meeting Room Booking System (MRBS) to the new Mazévo scheduling system in late 2024. 

During the transition, data in MRBS will be no longer be reliable while Mazevo comes online. Both systems will be under maintenance through December 20. 

  • Dec. 13 MRBS is being retired and is no longer a reliable source for room scheduling. 
  • Dec. 1320 Maintenance on both systems.
  • Dec. 20 Mazévo will go live as the new School of Music space management system.

How to Request a space

Faculty/Staff — General Classroom Room Requests (beyond SIS pre-scheduled courses)

Note: You cannot request Timashev N120, N160, or Weigel Auditorium through Mazévo.

  1. Classrooms may be requested via Mazévo in 30-minute time blocks, up to 90 minutes per day.
  2. Requests may be made up to one month in advance. 
  3. Requests will be processed, and you will receive confirmation or refusal within 72 business hours.

Steps

  1. Log in to the Mazevo system using your university email and password.
  2. Select The Ohio State University Arts District under Organization.
  3. Go to the Event Book.
  4. Choose Timashev Family Music Building or Weigel Hall.
  5. Select your desired date and click Search to view available rooms and times.
  6. Click the green (+) button next to the room you wish to reserve.
  7. Select your desired times, event name, type, and organization.
  8. You will receive a confirmation email upon submitting your request.
