Scheduling Procedures
School of Music Event Scheduling Policies
Major, annual events are scheduled in the previous year. Below is an outline of the process to schedule events for the upcoming year.
TIER 1 — School of Music Ensembles
- Bands, choirs, jazz, orchestras are scheduled by the Conducting and Ensemble area — this process is usually complete by the end of autumn semester, one year ahead.
TIER 2
- The following events are scheduled for the next academic year through coordination with the Performance Area, Ensembles and the Event Management Team — Admissions events, Honors ensemble events (High School Honor Band, etc.), School of Music Festivals, Outreach events (Double Reed Workshop, Trombone Day, etc.), Summer camps.
- Faculty/Guest Artist Recitals, including the Rush Hour series, are scheduled via a process outlined by the Concert Committee. Dates are pre-set, and claimed through a process that usually opens in March via a separate form and approval process.
TIER 3 — Specialty events
- World Music Day, Composers Workshop, studio recitals, specialized lectures (ex. Poland Lecture), Wilson Vocal Competition, etc. can be scheduled for the following year after the Tier 2 process is complete.
Professional Organization Conferences
Professional conferences hosted at the School of Music (CBDNA, NATS, NASA, etc.) are scheduled through Tim Donel.1 and subject to rental and shared resources policies and procedures, and scheduled subject to availability.

After the annual School of Music events listed above have been scheduled, spaces may be requested during the current academic year.

How to Request a Space in Mazévo
Faculty/Staff — General Classroom Room Requests (beyond SIS pre-scheduled courses)
Note: You cannot request Timashev N120, N160, or Weigel Auditorium through Mazévo.
- Classrooms may be requested via Mazévo in 30-minute time blocks, up to 90 minutes per day.
- Requests may be made up to one month in advance.
- Requests will be processed, and you will receive confirmation or refusal within 72 business hours.
Steps
- Log in to the Mazévo system using your university email and password.
- Select The Ohio State University Arts District under Organization.
- Go to the Event Book.
- Choose Timashev Family Music Building or Weigel Hall.
- Select your desired date and click Search to view available rooms and times.
- Click the green (+) button next to the room you wish to reserve.
- Select your desired times, event name, type, and organization.
- You will receive a confirmation email upon submitting your request.
